2.0 Customer Home Site Information (Exploratory)
- Confirm Lot Ownership/Location Preference
- Ask if they already own a lot or have one in mind.
- If yes, request details: address, size, and zoning.
- Schedule a Lot Evaluation
- NHC notifies Executive Vice President (EVP) of the Offsite Prospect and forwards property information (survey, grading plan, site plans, soil tests, etc.)
- EVP reaches out to NHC to determine buyer needs and budget.
- Once the EVP determines if the Prospects meets the MCP required budget etc. EVP will reach out to Director of Construction (DOC) to schedule a meeting with the NHC and DOC onsite.
- DOC will look at site requirements and may involve excavator and engineer to estimate costs.
3.0 Site Meeting
- NHC, Prospect, DOC and EVP will meet onsite to walk property and establish a proposed home location and site-specific requirements: such as tree removal, import/export, teardown, utilities, water/well, sewer, septic, rain garden, soil and watershed.
- Determine if the home plan is a Walk Out/Look Out or Full Basement.
- DOC needs approx. 3-5 business days to gather required information if needed.
4.0 Home Design Consultation
- NHC, EVP or President and Prospect will meet to review Signature or Monogram home design that meets the Prospects requirements.
- NHC will share the Signature or Monogram Pricing with the EVP, President and Prospect.

5.0 Home Plan/Design Deposit
- If Customer requires any custom options:
- The NHC submits the Signature or Monogram Pricebook and lists the Custom Option(s) needed on the last page.
- Submits the Pricebook WITH the Custom Options/Bid Submittal Checklist. Click HERE and corresponding redlined Signature and Monogram plan.
- Please include the following in your Custom Option/Bid Submittal to Executive Vice President (EVP)
- Signed Designed Deposit Agreement and check for $10,000 (made payable to McDonald Construction Partners LLC). See Step 6.0 for documents
- Redlined corresponding plan (if applicable)
- NHC completed Custom Option(s)/Bid Submittal Checklist

6.0 Design Deposit Agreement Package (DDA)

- NHC forwards the Design Deposit Agreement Package with the $10,000 non-refundable check to Office Manager (OM)
- Office Manager gives the Design Deposit Agreement Package to Executive Vice President (EVP) and President for review and signatures
- OM scans and sends signed Design Deposit Agreement Package to NHC
- NHC sends signed copies to Customer and Customer’s Agent (if applicable)
- Office Manager gives the Deposit check and signed DDA Package to Controller
- Office Manager converts Customer from Lead Opportunities to Job in Buildertrend under the correct Pre-Conn Template.

7.0 Design
- EVP schedules a meeting with President to review the determined path of design process.
- EVP or President meets with the Arch Department to determine who will manage the Custom Option Design.
- The Arc designer will complete the Custom Option Design in Chief Arc or Revit.
- When Custom Option Design is completed, the Arc Designer/Architect presents the plan to EVP, President and NHC for review.
- EVP, President and NHC will review the Custom Option Design and provide any feedback.
- The Arc Designer/Architect will make the changes from the review.
- The NHC will schedule a meeting with the Customer and EVP or President to present the Custom Option Design.
NHC + EVP/PRESIDENT + CUSTOMER MEETING #1:
1.) NHC and EVP/President presents the Custom Option Design to Customer (in-person is preferred)
2.)The Team summarizes any feedback/changes that the Customer would like to make to the Custom Option Design.
3.) NHC summarizes the information via email and redlines the Custom Option Design and forwards to Arc Designer/Architect and copies EVP and President.
4.) Arc Designer/Architect updates the Custom Option Design from the redlines provided and forwards the design to the NHC, EVP, and President.
5.) NHC will then send the updated Custom Option Design to the Customer for approval.
6.) NHC forwards the Custom Option Design Package, Custom Option Checklist, Plan and Signature/Monogram Pricebook/Exhibit C to the Pricing Manager and EVP.
7.) NHC schedules a meeting with Pricing Manager, EVP and President (optional) to review the Custom Option Design Package for pricing.
**If plan changes are required, Arc Department updates the plan prior to the Pricing Manager releasing Custom Option Design Package**
8.) The Pricing Manager releases the Custom Option Design Package pricing.
Pricing
1.0 Pricing
- Pricing Manager assembles the Custom Option Design Package and releases Custom Option Design Package Information to Trades via Buildertrend (within 3-5 business days)
- Pricing will take approx. 1-4 weeks dependent on complexity.
- NHC schedules and attends Appliance Meeting with Customer with Jim Femrite with All Inc.
- Jim will then forward the pricing to NHC, Designer and Pricing Manager.
- NHC reaches out to Director of Construction to review the house placement and schedule a site walk with Customer. (optional)
- Items of discussion: Tree removal, additional steps/risers, excavation or dirt, driveway length or utilities, retaining walls and well/septic and rain gardens (if needed).
- NHC and Director of Construction will notify Pricing Manager with any additional site-specific costs to include in bid pricing.
- NHC will forward the approved Appliance Selections to Pricing Manager and Designer to include in bid.
2.0 Custom Option Design Release (to Trades)
- Pricing Manager releases the Custom Option Design to trade partners and will complete within 3-4 weeks (depending on complexity and amount of options)
- The Pricing Manager and President review the bid pricing from the Trades.
- Once price is ready, Pricing Manager will forward the updated Exhibit C/Pricebook with the Custom Option Pricing to the NHC and copies President and EVP.
3.0 Custom Option Pricing Presentation
- NHC presents the Custom Option Pricing and the corresponding Custom Option Design to the Customer.
- The pricing is good for 10 days
- The Customer notifies the NHC of the options (Custom or Standard) to include.
- Then NHC updates the Exhibit C/Pricebook
- NHC contacts Community ARC Representative (if applicable) to verify exterior colors, style and home design are acceptable prior to contract signing is possible.
Contract
1.0 Customer Construction Contract Signing
- The NHC finalizes the plan, options, and Exhibit C/Pricebook with the Customer.

- NHC submits the signed:

- OM reviews contract and forwards to EVP for review and approval.
- OM forwards Exhibit B and C to Pricing Mgr. for reconciliation and approval.
- OM has Director of Construction verify house placement and site-specific costs within 3 business days.
- Once approved by EVP, Pricing Mgr. and DOC, OM forwards contract to President for signatures.
- If there are any contract corrections or price discrepancies the NHC must resolve and forward to Office Manager before the President signs the contract.
- Once President signs final contract package, OM scans and sends signed contract package to NHC, MCP Controller, and Title Company.
- NHC sends Next Steps and Introduction to Customer with signed contract to Customer Lender, and Customer’s Realtor (if applicable).

- Appliance Selections included in the contract.
- NOTE: If Appliance Selections are different than the Included Appliances per the Included Features NHC contacts Jim Femrite from All Inc. to finalize and updated the Customer’s Appliance Selections.
- OM forwards original contract documents and earnest money check to Controller.
- If Customer goes straight to contract, OM will create a Job in Buildertrend.
- Pricing Manager (PM) works on the Reconciliation document and once completed in Pro-Contractor, PM will print the updated pricing and gives it to Controller for the final document to add to the Job File.
- NHC follows-up to ensure the Customer has access to Buildertrend.
Final Plans & Selections
1.0 Final Plans
- The OM forwards the Exhibit B and Exhibit C/Pricebook from the Construction Contract to the Architecture Department to complete the final plan.
- The Architecture Department reviews the plans and Exhibit C/Pricebook and forwards the completed plans to the NHC to review with Customer within 8 business days.
2.0 Customer Plan Review
- NHC meets Customer to review final plans, redlines any changes (if applicable) and submits the changes as a Change Order in Buildertrend and uploads corresponding redlines as an attachment to the individual change in Buildertrend and hits SAVE.
- Once the Change Order has been entered into Buildertrend, the Pricing Manager will be notified to price the change.

- Pricing Manager completes the pricing on the Change Order approximately 1 week dependent on the level of change.
- Once the price is OK to release/send to Customer by the Pricing Manager, the NHC is responsible to send/ release the Change Order to Customer by clicking SEND.
- NOTE: it is the NHC’s responsibility to keep checking their Change Orders status to see if they are priced and OK to send/release from Pricing Manager.
- Once the Customer has approved the Change Order pricing the NHC, exports the approved Change Orders and redlines the plan and then forwards the redline final plan to the Customer for signature and approval.
- NHC forwards the signed plan and corresponding Change Orders to Architecture Department to complete the plan.
- Director of Construction forwards to the Truss Company, Engineer, Heating Calcs and Lumber Company to complete the structural information for the building permit application.
- The NHC submits the plan to the ARC after exterior colors are finalized (if applicable).
- Director of Construction orders the final house placement and property survey.
3.0 Pricing Amendment (Plan Changes)
- NHC summarizes the Buildertrend Change Orders on an Amendment and have the Customer Sign the Amendment.
- NHC forwards Amendment to Office Manager with check, if applicable
- Office Manager sends Amendment to President for signature approval.
- NHC needs to forward the Amendment to Customer, Lender, and Customer’s realtor (if applicable).
4.0 Selections
If the Customer has any inspirational images or Pinterest boards, have the NHC share them with the Designer.
MCP SELECTION PROCESS TIMELINE
Meeting #1 – Overall Design Selections
The Designer meets with the Customer to source & select overall design selections – including exterior finishes, millwork, flooring, tile, plumbing fixtures, countertops, and cabinetry.

Meeting #3 – Flooring, Tile, Cabinet Drawings and Glass Review: At this meeting, the Designer will meet with the client to finalize tile details, review cabinet drawings, and finalize glass and mirrors products. (Roughly 2 weeks after 1st meeting)

Meeting #4 – Electrical, Low Voltage, Closet, and Appliance Review: At this meeting, the New Home Consultant will meet with the homeowner to discuss and review electrical, low voltage, closet drawings, and appliances (if necessary).
- Location: MCP Design Center or over Zoom (Approx. 1-2 hours)
- Go through electrical plans and redline any additional outlets, fixtures, and switches or changes
- Connect homeowner with Kevin at Low Voltage
- Review Closet Drawings from Harkraft
- Review Appliances if not finalized
- New Home Consultant will create any change orders needed from this meeting.
Meeting #5 – Lighting Meeting. The Designer will meet with homeowner at desired lighting vendor and select all fixtures for home.
- Location: Southern Lights or Visual Comfort (Approx. 1.5 hours)
- Review Electrical Plan

Meeting #6 – Final selection review & Builder Trend Sign Off. At this meeting, the Designer and New Home Consultant will meet with the homeowner to review and sign off on all selections and change orders.
- Location: MCP Conference Room & Design Center (Approx. 2 hours)
- Review all selections
- Go through Buildertrend to approve all selections & change orders
- Finalize and confirm any outstanding selections
- After this meeting, all plans will be updated to reflect any changes
Kick Off Meeting: At this meeting, the Construction Manager and New Home Consultant meet with the client to kick off the construction of their home.

- After meeting, all selections get ordered and production starts!
- Before Kickoff: Cabinet drawings, electrical plans, low voltage layouts, and all selections must be complete (flooring, tile, countertops, plumbing, lighting, hardware, cabinetry, etc.).
- 6 Weeks After Kickoff: Any changes to cabinets or electrical must be made within 6 weeks. After this point, a $250 change order fee applies.
- 12 Weeks After Kickoff: Paint color changes may be made up to 12 weeks after kickoff. Additional Paint colors outside the (2) colors selected will be an additional $350 per each new paint color.
- After Drywall: No electrical or cabinet changes can be made

5.0 Selection Pricing
- Designer forwards Interior Selection Information to Trades and Pricing Manager for pricing
- Designer and Pricing Manager complete Selection Pricing within approx. 7 business days
6.0 Customer Selection Pricing Review
- Designer meets Customer to approve Selection Pricing and signs offs on the corresponding specifications
- When lighting selections are approved, NHC needs to schedule and review electrical and low voltage plan with Customer and Low Voltage trade.
(Optional) if Customer prefers to meet with electrician to review electrical plan, NHC needs to schedule and attend meeting.
7.0 Pricing Amendment
IMPORTANT: IF Change Orders and Selections need to be included in Construction Financing or Cash Disbursement Closing.
- The NHC creates an Amendment to summarize the additional Buildertrend Change Orders and have Customer sign.
- Once Amendent is signed, NHC will forward to OM
- The NHC forwards the signed Amendment to the
- Title Company
- The Lender
- The Controller
- This Amendment is included in the final Construction Loan or Cash Disbursement amount and appraisal (if applicable)
- The Change Orders/Amendment must be sent to Lender 3 weeks prior to be included in the appraisal

1.0 Pricing to Lender
- Pricing Manager forwards Sworn Construction Statement to Controller
- If Customer must include all pricing in loan, all selections and change orders must be made in advance of submitting Sworn Construction statement to Lender
2.0 Final Amendment
- NHC forwards Final Plan & amendment pricing to Controller, Lender & Title Company to complete Appraisal
- If the change order exceeds contract amount and construction had closed, customer must pay for change order amount by check.
3.0 Appraisal
- Appraisal will take approx. 3 weeks to complete
- When appraisal is complete, NHC contacts Controller, Lender & Title Company to schedule Construction Loan Closing
4.0 Construction Loan Closing
- Customer, NHC, Controller, Lender & Joan Young with Premier Title Company meet at MCP office to complete the Construction Loan Closing
- MCP (typically) collects 1st Draw at Construction Loan closing
5.0 Change Order Summary
If the Change Orders exceed contract amount and construction disbursement has occurred customer must pay for change order amount by check.
Cash Buyer
NOTE: 10% of Total Contract Amount (House and Options) Earnest Money previously collected at Construction Contract signing
1.0 Proof of Funds

- Change Orders must be approved by Customer before plan change is made by Architecture Department.

- NHC summarizes the approved Buildertrend Change Orders and exports to excel spreadsheet.
- Attach Change Order excel spreadsheet to the redline Kickoff House Plan and forwards to Architecture Department to update plans for construction.
3.0 Building Permit
- Architecture Department updates any plan revisions from Kickoff Meeting
- Office Manager or Director of Construction is notified by City that Building Permit Application is approved and ready for pickup
- Office Manager or DOC requests Controller to process Permit Check

- NHC contacts Title Company to schedule a closing date with Customer, and Controller.
- Copy EA, President, Construction Manager, Director of Construction, Office Manager and EVP to the calendar invite.
- NHC contacts the customer to schedule the Orientation, and Final Reconciliation/Closing and send calendar invites. (Copy Construction Manager, Director of Construction, Lender and Controller.)
- NHC verifies any site-specific items by Amendment or Change Order and forwards to Office Manager to review and verify.
- Once Office Manager approves, NHC send the final Reconciliation Amendment to Customer for approval.
- Once approved by customer, NHC forwards to Office Manager for Presidents approval.
- Once President approves, the Office Manager sends the signed Reconciliation Amendment and forwards it the NHC and Controller.
- The NHC forwards the final Reconciliation Amendment to the Customer and Lender.
- The Controller creates a final draw and forwards the final draw amount to the Title Company and Lender.
7.0 Final Walk/Close
This walkthrough verifies completion of items identified during the New Home Orientation.
- The Customer Care Manager (CCM) provides a brief introduction and explains how the team will support the Customer throughout their warranty and home care journey.
- Reviews the Customer Care Process and outlines the MCP Warranty Program.
- Reviews the Customer’s Client Information in Buildertrend, emphasizing the importance of accurate information for the MCP Warranty Program.
- The Customer and Construction Manager initial the Orientation Punch
- The Closing date calendar invite is sent and includes the following attendees:
- Customer

- Construction Manager
- Director of Construction (DOC)
- Controller
- EVP
- Executive Assistant (EA)
