2.0 Customer Home Site Information (Exploratory)
- Confirm lot ownership or preferred location.
- Collect lot details: address, size, zoning.
- Schedule Lot Evaluation.
- NHC notifies Executive Vice President (EVP) and forwards site documentation.
- EVP evaluates budget alignment and feasibility.
- EVP coordinates with Director of Construction (DOC) to schedule onsite review.
- DOC assesses site requirements and coordinates with engineer/excavator if needed.
3.0 Site Meeting
- NHC, Prospect, EVP, and DOC meet onsite.
- Establish home placement and site requirements (utilities, grading, soils, watershed, etc.).
- Determine foundation type (walkout/lookout/full).
- DOC gathers remaining information within 3–5 business days.
4.0 Home Design Consultation
- NHC, EVP/President, and Prospect review design needs and Custom Design Process.
- Review inspiration, layouts, and budget alignment.
- Discuss Design Deposit Agreement ($5,000 non-refundable).
5.0 Home Plan/Design Deposit
5.1 Custom Design Required
- NHC completes Custom Options / Bid Submittal Checklist.
- Submit to EVP:
- Signed Design Deposit Agreement + $5,000 check
- Redlined plan (if applicable)

- Inspiration images, links, special requests

6.0 Design Deposit Agreement Package (DDA)

- Office Manager (OM) routes DDA package for EVP & President approval.
- OM distributes executed documents and forwards deposit to Controller.
- OM converts Prospect to Job in Buildertrend and creates SharePoint Job File.
7.0 Design
- EVP schedules a meeting with President to review the determined path of design process.
- EVP reaches out to NHC to schedule a meeting with EVP or President and Customer to discuss their custom plan, layout, bedrooms, bath, square footage, inspiration/home features needed.
- EVP or President meets with the Arch Department to determine who will manage the custom design.
- The Arc designer who will be managing this design, will create the floor plan concept in Chief Arc or Revit.
- When floor plan is completed, the Arc Designer/Architect presents the plan to EVP, President and NHC for review.
- EVP, President and NHC will review the floor plan concept and provide any feedback.
- The Arc Designer/Architect will make the changes from the review.
- The NHC will schedule a meeting with the Customer and EVP or President to present the floor plan concept.
NHC + EVP/PRESIDENT + CUSTOMER MEETING #1:
- NHC and EVP/President presents the floor plan concept to Customer (in-person is preferred)
- The Team summarizes any feedback/changes that the customer would like to make to the floor plan concept.
- NHC summarizes the information via email and redlines the floor plan concept and forwards to Arc Designer/Architect and copies EVP andPresident.
- Arc Designer/Architect updates the floor plan concept from the redlines provided.
- Arc Designer/Architect forwards the updated floor plan concept to NHC, EVP and President to review and provide any feedback or required revisions before presenting to customer.
- NHC schedules Meeting with Customer, EVP or President to present updated floor plan concept and any additional plan details or perspectives may be provided for approval.
NHC forwards any additional notes/redlines with the approved floor plan to Arc Designer/Architect, EVP and President along with any exterior inspiration images.
ELEVATION DESIGN MEETING
- Arc Designer/Architect will create the black and white exterior elevation for the floor plan.
- Arc Designer/Architect presents the exterior elevation concept to NHC, EVP and President.
- NHC, EVP, President and Arc Designer/Architect will redline any changes to the elevation concept.
- Arc Designer/Architect makes the changes from the meeting to the elevation concept and forwards to NHC, EVP and President.
- NHC schedules Meeting to present elevation concept to customer and includes EVP or President (in-person preferred).
- During that meeting, NHC summarizes any feedback/changes that the Customer would like to make to the elevation concept.
- NHC summarizes the information via email and redlines the elevation concept and forwards to Arc Designer/Architect and copies EVP and President.
- Arc Designer/Architect updates the elevation concept from the redlines provided.
- Arc Designer/Architect forwards the updated elevation concept to NHC, EVP and President to review and provide any feedback or required revisions before presenting to customer.
- NHC schedules Meeting with Customer, EVP or President to present updated elevation for approval.
- Once Customer approves the elevation, NHC notifies the Arc Designer/Architect, EVP and President to proceed with the Bid Set Plan.
BID SET PLAN
- Arc Designer/Architect will create a Bid Set Plan
- While the Arc Designer/Architect is creating the Bid Set Plan, the NHC assembles the Exhibit C for base pricing and options.
- Once the Bid Set Plan is completed, the Arc Designer/Architect will send it to the NHC, EVP and President.
- NHC will share the Bid Set Plan with the Customer and get approval.
- The NHC schedules a meeting with the Customer and Designer to complete the Introduction to Selections meeting to review the Included Features and finishes that the Customer would like to include in their home.
- NHC completes the Exhibit C and Bid Set Plan and assembles the update the Bid Submittal Package for pricing. NHC meets with the Designer to complete the selection related items on the Exhibit C (plumbing, flooring, countertops, cabinets, millwork, exterior colors).
- NHC schedules a meeting with the Pricing Manager to review the Exhibit C Plan and Bid Submittal Package.
- The Pricing Manager and NHC note any changes or updates they would like to see on the plan or Exhibit C before releasing for bid and notified the Arch Designer/Architect of any required plan revisions needed for pricing.
- NHC updates the Exhibit C and the Arc Designer/Architect updates the plan and forwards to Pricing Manager to prepare for bidding.
- The NHC will notifies the Director of Construction to order the house placement and survey.
- NHC will schedule and attend the meeting with the Customer and Jim Femrite at All Inc. to make Appliance Selections.

Pricing
1.0 Pricing
- The Pricing Manager assembles the Bid Package and releases custom bid information to trade partners via Buildertrend within 3–5 business days.
- Overall pricing typically takes 1–4 weeks, depending on the complexity and scope of changes.
- The NHC schedules and attends the Appliance Meeting with the Customer and Jim Femrite (All Inc.).
- Following the meeting, Jim Femrite forwards appliance pricing to the NHC, Designer, and Pricing Manager.
- The NHC coordinates with the Director of Construction to review house placement and, if needed, schedules an optional site walk with the Customer.
- Site walk discussion items may include:
- Tree removal
- Additional steps or risers
- Excavation or excess dirt
- Driveway length and utilities
- Retaining walls
- Well/septic and rain gardens (if applicable)
- The NHC and Director of Construction communicate any site-specific costs to the Pricing Manager for inclusion in the bid pricing.
- The NHC forwards approved appliance selections to the Pricing Manager and Designer for inclusion in the final bid.
2.0 Bid Release (to Trades)
- Pricing Manager releases the bid to trade partners and will complete bid withing 3-4 weeks (depending on complexity and amount of options that are included in the bid)
- The Pricing Manager and President complete the internal bid review.
- Once price is ready, Pricing Manager will forward the updated Exhibit C with the Custom Option Pricing to the NHC and copies President and EVP.
3.0 Bid Presentation/Proposal
- NHC assembles the Bid Presentation and Proposal with EVP.
- NHC presents the Bid Presentation Proposal to the Customer. The Bid Presentation will include:
- Exhibit C
- Option Pricing
- House Placement
- Floor Plan
- Appliance Selections
- Inspirational Photos and Renderings

- The Customer reviews the Bid Presentation Package and notifies the NHC of any changes or revisions and options they would like to be included:
- Then NHC updates the Exhibit C, Plan or Both and sends to Pricing Manager to complete additional pricing and copies EVP and President.
- The pricing is good for 10 days
- IF A PLAN REVISION IS NEEDED- FOLLOW THESE STEPS:
- Depending on the level of change, Pricing Manager, EVP or President will meet with Arc Department to have plan updated.
- When plan revision is complete, the Arc Department will forward the design to the NHC.
- NHC will forward the design to Customer for approval, before going to pricing.
- Once approved by Customer, NHC will forward approved plan to Pricing Manager.
- Pricing Manager will reach out to NHC and EVP to communicate when pricing can be completed.
- NHC updates customer on Pricing status and timing.
- When pricing is complete, the NHC presents the updated Exhibit C pricing to Customer.
- NHC contacts Community ARC Representative (if applicable) to verify exterior colors are acceptable prior to contract signing is possible.
Contract
1.0 Customer Construction Contract Signing
1.0 Plan, Options & Pricing Finalization
- The New Home Consultant (NHC) finalizes the selected plan, options, and pricing proposal (Exhibit C) with the Customer.
- Reference Contract Example – Exhibit C as needed.
- NHC collects Earnest Money equal to 10% of the Total Package Price, made payable to McDonald Construction Partners, LLC.
2.0 Construction Contract Package Assembly
- The NHC assembles the complete Construction Contract Package, including the following documents:
- Construction Contract Checklist – Customer-Owned Lot
- Agency Relationships Disclosure
- Construction Contract – Customer-Owned Lot
- IMPORTANT: Verify the contract is the most current version and date.
- Contact the EVP with any questions regarding contract versioning.
3.0 Exhibit B – House Plans & Site Documentation
- Customer signs the front page of Exhibit B and initials all remaining pages.
- NHC strikes through any options shown on the plans that the Customer did not approve.
- NHC circles or clearly notes all approved options shown on the plans.
- House placement and survey are reviewed and signed by the Customer.
- Reference Exhibit B Example if needed.
4.0 Exhibit C – Pricing, Selections & Inclusions
- NHC updates the Exhibit C date to match the contract.
- Customer initials all pages and signs and dates the final page, confirming the final purchase price.
- Customer signs the front page of Appliance Selections.
- Customer initials:
- First page of Closet Drawings
- First page of Cabinet Drawings
- First page of Gutter Drawings
- Included Features Document is initialed by the Customer based on the selected Signature Plan and Signature Exhibit C.
- NHC strikes through any unselected options and records the total price with selected options on the final page of Exhibit C.
- Customer and NHC initial all pages and sign the final page.
NOTE: Appliance Selections must be included in the contract package.
If appliance selections differ from bid pricing, the NHC must contact Jim Femrite (All Inc.) to finalize and update selections accordingly.
5.0 Additional Contract Exhibits
- Exhibit D: Customer signs the Arbitration Agreement.
- Exhibit E: Minnesota Statutory Warranties
- Customer initials the cover page.
- Exhibit F: BAM Performance Guidelines
- Customer initials the cover page.
- Pages 32–33 must be completed.
- Customer initials the cover page.

6.0 Contract Execution & Submission
- Customer signs the Construction Contract as Owner.
- NHC submits the complete signed Construction Contract Package, checklist, and 10% Earnest Money (based on total contract price: house + options) to the Office Manager (OM).
7.0 Internal Review & Approval Process
- OM reviews the contract package and forwards it to the EVP for review and approval.
- OM forwards Exhibits B and C to the Pricing Manager (PM) for reconciliation and approval.
- OM coordinates with the Director of Construction (DOC) to verify:
- House placement
- Site-specific costs
- Review to be completed within three (3) business days
8.0 Final Signatures & Distribution
- Once approved by the EVP, Pricing Manager, and DOC, OM forwards the contract to the President for final signature.
- If any corrections or pricing discrepancies are identified, the NHC is responsible for resolving them and resubmitting to the OM prior to President signature.
- Upon President signature, OM scans and distributes the fully executed contract package to:
- NHC
- MCP Controller
- Title Company
9.0 Customer Communication & Next Steps
- NHC sends a Next Steps and Introduction email to:
- Customer
- Customer’s Lender
- Customer’s Realtor (if applicable)
- Reference Next Steps Email Example
10.0 Accounting, Job Setup & Buildertrend
- OM forwards original contract documents and Earnest Money check to the Controller.
- If the Customer proceeds directly to contract, OM creates the Job in Buildertrend.
- Pricing Manager completes the Reconciliation Document in Pro-Contractor and provides finalized pricing to the Controller for inclusion in the Job File.
- NHC follows up to ensure the Customer has active access to Buildertrend.
Final Plans & Selections
1.0 Final CAD
- The OM forwards the Exhibit B and Exhibit C from the Construction Contract to the Architecture Department to complete the final plan.
- The Architecture Department reviews the plans and Exhibit C and forwards the completed plans to the NHC to review with Customer within 8 business days.
2.0 Customer Plan Review
- NHC meets Customer to review final plans, redlines any changes (if applicable) and submits the changes as a Change Order in Buildertrend and uploads corresponding redlines as an attachment to the individual change in Buildertrend and hits SAVE.
- Once the Change Order has been entered into Buildertrend, the Pricing Manager will be notified to price the change.
- Pricing Manager completes the pricing on the Change Order approximately 1 week dependent on the level of change.
- Once the price is OK to release/send to Customer by the Pricing Manager, the NHC is responsible to send/ release the Change Order to Customer by clicking SEND.
- NOTE: it is the NHC’s responsibility to keep checking their Change Orders status to see if they are priced and OK to send/release from Pricing Manager.
- Once the Customer has approved the Change Order pricing the NHC, exports the approved Change Orders and redlines the plan and then forwards the redline final plan to the Customer for signature and approval.
- NHC forwards the signed plan and corresponding Change Orders to Architecture Department to complete the plan.
- Director of Construction forwards to the Truss Company, Engineer, Heating Calcs and Lumber Company to complete the structural information for the building permit application.
- The NHC submits the plan to the ARC after exterior colors are finalized (if applicable).
- Director of Construction orders the final house placement and property survey.
3.0 Pricing Amendment (Plan Changes)
- NHC summarizes the Buildertrend Change Orders on an Amendment and have the Customer Sign the Amendment.
- NHC forwards Amendment to Office Manager with check, if applicable
- Office Manager sends Amendment to President for signature approval.
- NHC needs to forward the Amendment to Customer, Lender, and Customer’s realtor (if applicable).
4.0 Selections
If the Customer has any inspirational images or Pinterest boards, have the NHC share them with the Designer.
MCP SELECTION PROCESS TIMELINE
Meeting #1 – Overall Design Selections
The Designer meets with the Customer to source & select overall design selections – including exterior finishes, millwork, flooring, tile, plumbing fixtures, countertops, and cabinetry.

At this meeting, the Designer will meet with the client to finalize tile details, review cabinet drawings, and finalize glass and mirrors products. (Roughly 2 weeks after 1st meeting)

Meeting #4 – Electrical, Low Voltage, Closet, and Appliance Review:
At this meeting, the New Home Consultant will meet with the homeowner to discuss and review electrical, low voltage, closet drawings, and appliances (if necessary).

- Go through electrical plans and redline any additional outlets, fixtures, and switches or changes
- Connect homeowner with Kevin at Low Voltage

- Review Appliances if not finalized
- New Home Consultant will create any change orders needed from this meeting.
Meeting #5 – Lighting Meeting. The Designer will meet with homeowner at desired lighting vendor and select all fixtures for home.

Meeting #6 – Final selection review & Builder Trend Sign Off.
At this meeting, the Designer and New Home Consultant will meet with the homeowner to review and sign off on all selections and change orders.

- Go through Buildertrend to approve all selections & change orders
- Finalize and confirm any outstanding selections
- After this meeting, all plans will be updated to reflect any changes
Kick Off Meeting: At this meeting, the Construction Manager and New Home Consultant meet with the client to kick off the construction of their home.

- After meeting, all selections get ordered and production starts!
- Before Kickoff: Cabinet drawings, electrical plans, low voltage layouts, and all selections must be complete (flooring, tile, countertops, plumbing, lighting, hardware, cabinetry, etc.).
- 6 Weeks After Kickoff: Any changes to cabinets or electrical must be made within 6 weeks. After this point, a $250 change order fee applies.
- 12 Weeks After Kickoff: Paint color changes may be made up to 12 weeks after kickoff. Additional Paint colors outside the (2) colors selected will be an additional $350 per each new paint color.
- After Drywall: No electrical or cabinet changes can be made

5.0 Selection Pricing
- Designer forwards Interior Selection Information to Trades and Pricing Manager for pricing
- Designer and Pricing Manager complete Selection Pricing within approx. 7 business days
6.0 Customer Selection Pricing Review
- Designer meets Customer to approve Selection Pricing and signs offs on the corresponding specifications
- When lighting selections are approved, NHC needs to schedule and review electrical and low voltage plan with Customer and Low Voltage trade.
(Optional) if Customer prefers to meet with electrician to review electrical plan, NHC needs to schedule and attend meeting.
7.0 Pricing Amendment
IMPORTANT: IF Change Orders and Selections need to be included in Construction Financing or Cash Disbursement Closing.
- The NHC creates an Amendment to summarize the additional Buildertrend Change Orders and have Customer sign.
- Once Amendent is signed, NHC will forward to OM
- The NHC forwards the signed Amendment to the

- NHC forwards Final Plan & amendment pricing to Controller, Lender & Title Company to complete Appraisal
- If the change order exceeds contract amount and construction had closed, customer must pay for change order amount by check.
3.0 Appraisal
- Appraisal will take approx. 3 weeks to complete
- When appraisal is complete, NHC contacts Controller, Lender & Title Company to schedule Construction Loan Closing
4.0 Construction Loan Closing
- Customer, NHC, Controller, Lender & Joan Young with Premier Title Company meet at MCP office to complete the Construction Loan Closing
- MCP (typically) collects 1st Draw at Construction Loan closing
5.0 Change Order Summary
If the Change Orders exceed contract amount and construction disbursement has occurred customer must pay for change order amount by check.
Cash Buyer

- Clarification/No cost items should be noted in Kickoff Meeting Agenda Document with corresponding redline items.
- Change Orders must be approved by Customer before plan change is made by Architecture Department.
- Here are the steps:
- NHC summarizes the approved Buildertrend Change Orders and exports to excel spreadsheet.
- Attach Change Order excel spreadsheet to the redline Kickoff House Plan and forwards to Architecture Department to update plans for construction.
3.0 Building Permit
- Architecture Department updates any plan revisions from Kickoff Meeting
- Office Manager or Director of Construction is notified by City that Building Permit Application is approved and ready for pickup
- Office Manager or DOC requests Controller to process Permit Check
- Office Manager informs DOC that permit is approved
- Construction Manager delivers Permit Check & receives Building Permit from City
4.0 Buildertrend
- Construction Manager uploads project in Buildertrend using the templated schedule

6.0 Orientation/Amendment Reconcilation
- Construction Manager notifies NHC to schedule New Home Orientation meeting with Customer approx. one week after carpet install.
- The Construction Manager runs the orientation with support from the NHC as needed.
- This is a full walk-through of the entire house to educate the client on the operations of the home and to document any items that need attention on the Orientation Checklist.

- Customer receives instructions on how to submit service requests through Buildertrend.
- Construction Manager receives Certificate of Occupancy from City and forwards to Controller
STEPS FOR FINALIZING RECONCILATION AMENDENDMENT:
- NHC contacts Title Company to schedule a closing date with Customer, and Controller.
- Copy EA, President, Construction Manager, Director of Construction, Office Manager and EVP to the calendar invite.
- NHC contacts the customer to schedule the Orientation, and Final Reconciliation/Closing and send calendar invites. (Copy Construction Manager, Director of Construction, Lender and Controller.)
- NHC verifies any site-specific items by Amendment or Change Order and forwards to Office Manager to review and verify.
- Once Office Manager approves, NHC send the final Reconciliation Amendment to Customer for approval.
- Once approved by customer, NHC forwards to Office Manager for Presidents approval.
- Once President approves, the Office Manager sends the signed Reconciliation Amendment and forwards it the NHC and Controller.
- The NHC forwards the final Reconciliation Amendment to the Customer and Lender.
- The Controller creates a final draw and forwards the final draw amount to the Title Company and Lender.
7.0 Final Walk/Close
This walkthrough verifies completion of items identified during the New Home Orientation.
- The Customer Care Manager (CCM) provides a brief introduction and explains how the team will support the Customer throughout their warranty and home care journey.
- Reviews the Customer Care Process and outlines the MCP Warranty Program.
- Reviews the Customer’s Client Information in Buildertrend, emphasizing the importance of accurate information for the MCP Warranty Program.
- The Customer and Construction Manager initial the Orientation Punch
- The Closing date calendar invite is sent and includes the following attendees:
- Customer
- Customer Care Manager
- Construction Manager
- Director of Construction (DOC)
- Controller
- EVP
- Executive Assistant (EA)
- Office Manager
- Closing Celebration Gift
- Includes a card, champagne, and orchid: Ordered by the Office Manager
- Closing Photo
- Taken by the New Home Consultant (NHC) or Executive Assistant (optional)

Final Reconciliation – Financed Buyer
- Customer, NHC & Title Company meet at MCP for final funding and paperwork signing.
- NHC and Controller present keys to new homeowners.
